PRIMARY RESPONSIBILITIES:
Assist the management team in operating an emergency food and clothing program, per annum supervising 250 volunteers (as many as 25 in a shift), and serving 11,000 clients over half a million pounds of food and 50,000 articles of clothing in Portland’s inner northeast.
RESPONSIBILITIES:
- Work eight (8) hours per week, as scheduled by the program manager. Shifts are generally between 8 a.m. and 5 p.m., Tuesdays, Thursdays and Saturdays. Some flexibility in scheduling is required.
- Supervise client processing and service, volunteers, inventory, deliveries, and other operations when other staff managers are not present, or assist other managers with these duties as needed.
- Compile and prepare reporting of data for volunteers, clients and in-kind donations.
- Assist with neighborhood-related outreach.
- Function as a member of the program’s leadership team and provide support and help to other team members as well as assist in training new personnel.
- Attend regular program leadership meetings and quarterly staff meetings.
- Complete all records and paperwork timely and accurately, and treat all client and volunteer information as confidential and proprietary to the organization.
- Represent the organization with integrity and handle all business related to the organization, its employees, volunteers, clients, donors and other stakeholders courteously, professionally and in an efficient and confidential manner.
- Participate in all required in-service training sessions and commit to ongoing skill and leadership development.
- Perform other duties as assigned.
SKILL AND EXPERIENCE:
- Demonstrate outstanding people skills and client service skills.
- Have experience with and show sensitivity in multicultural/cross-cultural settings. Be able to relate appropriately, professionally and empathetically to people of all ages, races, ethnicities, languages, beliefs, genders, sexual orientations, socio-economic statuses and disabilities.
- Evidence excellent management and verbal communication skills.
- Be able to speak a second language, such as Spanish (as a plus, not required).
- Be highly organized with a strong attention to detail.
- Have experience in managing volunteers and nonprofit operations (preferred).
- Be able to work well independently, with minimal supervision, and to balance multiple priorities.
- Be able to make decisions in high tension settings and to adjust to fluid and occasionally seemingly chaotic situations.
- Have a professional demeanor.
- Be able to lift up to 50 pounds on occasion.
- Have a working knowledge of MS Office. Be able to learn quickly the in-house database software. Be proficient at using the internet.
COMPENSATION: Hourly wage; no benefits for part-time less than 20 hours per week.
WORK HOURS: Part-Time, eight (8) hours/week.
LOCATION: Ecumenical Ministries of Oregon’s Northeast Emergency Food Program site, and other sites as assigned.

PURPOSE: To provide administrative and clerical support for Ecumenical Ministries of Oregon’s Russian Oregon Social Services.
ACCOUNTABILITY: To the Mission and Goals of Ecumenical Ministries of Oregon (EMO) as determined by the Board of Directors and as administered by the Executive Director.
REPORTS TO: Program Manager.
DIRECT REPORTS: None.
RESPONSIBILITIES:
- Assist program manager to review case files and provide an ongoing training to ROSS staff.
- Coordinate preparation of reports and ensure they are submitted in a timely fashion.
- Maintain files for reports, correspondence and brochures.
- Assist program manager with program development such as appeals, mailings, letters of inquiry and grant proposals.
- Provide organization of office area.
- Prepare media releases for EMO’s Communications staff to distribute; follow up on media releases.
- Maintain inventory of office supplies and order supplies as approved.
- Other duties as assigned by the Program Manager.
QUALIFICATIONS:
- Ability to work within the mission, vision and ethics of Ecumenical Ministries of Oregon.
- Willingness and ability to work with people of diverse ethnicity, socio-economic circumstance, religion, culture and sexual orientation.
- Able to type/word process with accuracy, using full keyboard skills at 60 wpm.
- Must have extensive knowledge and prior experience Windows XP, MS Office.
- Skill/ability to effectively communicate (orally and in writing).
- Must possess valid Oregon Driver's License and evidence of insurability.
- High tolerance for ambiguity and change.
- Experience and/or demonstrated ability to carry out the responsibilities identified.
- High-level organization and prioritization skills and ability to maintain a calm, professional demeanor.
- Skills/abilities and/or education/experience necessary to perform the duties of the position.
SALARY: $13.00 per hour.
HOURS: Part-time position, approximately 24 hours per week.
